Privacy Policy

Applies to Folio, a product of Sewell Labs

This Privacy Policy describes how Sewell Labs collects, uses, and protects information in connection with Folio, our multi-entity accounting platform. Sewell Labs may offer additional products in the future. Each product will be governed by its own privacy policy, tailored to the type of data it collects, which will be made available at the time that product is offered. This policy applies only to Folio.

1. Information We Collect

Account information: name, email, business/entity details, billing information. Financial data: transactions, chart of accounts, bank statement data (via CSV import), receipts and images uploaded through TrueReceipt, invoices, bills, and related accounting records you enter or upload. Usage data: log data, device information, and interactions with the platform, used to maintain and improve the service. Support communications: information you provide when contacting support or Folio Companion.

2. How We Use Information

To provide, operate, and maintain the Folio platform, including transaction processing, GL posting, reporting, and document storage (Folio Vault). To detect duplicate transactions, verify data integrity, and maintain audit trails via TruePost. To communicate with you about your account, updates, and support requests. To improve the platform and troubleshoot issues. To comply with legal, tax, and regulatory obligations.

3. How We Share Information

We do not sell your financial data. We may share information with: Service providers who help us operate Folio (e.g., cloud hosting, payment processing), under contractual confidentiality obligations. Professional advisors (legal, accounting) as necessary. Authorities, if required by law, subpoena, or valid legal process. A successor entity in the event of a merger, acquisition, or sale of assets.

4. Sub-Users, Accountants, and Shared Access

You may invite additional individuals to access your workspace(s). Sub-users may be granted access to one or more of your workspaces for data-entry purposes, with permissions you control. Accountants may also be invited by other, unrelated account owners, and whose access to any of your specific workspaces is controlled by you and may be granted or revoked at any time. Data visible to a sub-user or Accountant is determined by the access you grant them. Sewell Labs is not responsible for how an invited sub-user or Accountant uses, exports, or shares data you have made accessible to them. Sharing your own login credentials with another person is prohibited under our Terms of Service. If credentials are shared, Folio cannot distinguish which individual performed a given action, and all resulting activity will be treated and recorded as performed by the account owner.

5. Data Retention

Account and profile information (such as name, email, and business details not tied to a specific financial transaction) is deleted within 90 days following account closure, unless retention is required for legal, tax, or dispute-resolution purposes. Financial and transaction data (including but not limited to journal entries, invoices, bills, receipts, and other records processed through TruePost) remains accessible within Folio until account closure. Within 90 days following account closure, this data is removed from active Folio systems and archived separately, where it is retained for a total of seven (7) years from the date of account closure, consistent with common tax and financial recordkeeping requirements, unless a longer period is required by applicable law. You may request deletion of your account data at any time.

6. Data Security

We use commercially reasonable administrative, technical, and physical safeguards to protect your data. No system is completely secure, and we cannot guarantee absolute security.

7. Your Rights

Depending on your jurisdiction, you may have rights to access, correct, export, or delete your personal information. To exercise these rights, contact us at legal@sewelllabs.com.

8. Children's Privacy

Folio is not directed to individuals under 18, and we do not knowingly collect data from children.

9. International Users

If you access Folio from outside the United States, your information may be transferred to and processed in the United States.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via the platform or email prior to taking effect.
